Documented preventive maintenance per instrument with evidence of execution and resolution of any non-conformances raised during checks.
Maintenance module
Preventive maintenance software for accredited laboratories
Stop running maintenance from paper logs, photo-in-email evidence, and informal sign-offs. CalibDue gives every instrument its maintenance plan, captures the checklist responses with evidence, tracks open follow-ups, and scores your lab's maintenance compliance — all in the same dashboard your auditor will care about.
Maintenance dashboard — score, plan counts, today's tasks, and open follow-up actions.
What is preventive maintenance software for labs?
Preventive maintenance (PM) software replaces the paper checklists, photo-in-email evidence, and informal sign-offs that most labs use to keep instruments running between calibrations. Accreditation standards require evidence that maintenance happens on schedule, that the checks performed are standardised, and that any follow-up actions from a failed check are resolved.
CalibDue lets you define a maintenance checklist once (with typed items — checkbox, measurement, text, action) and reuse it across plans. Plans schedule the checklist against a piece of equipment on a date interval or a usage threshold. When a technician runs the check, the responses are captured as a snapshot (so future edits to the template don't change historic logs), evidence files attach to the log, and any incomplete or failed items become follow-up actions tracked until resolved.
What CalibDue's Maintenance module does
- Reusable maintenance checklists with typed items (checkbox, measurement, text, action)
- Plans scheduled by date interval (days/weeks/months) or usage threshold
- Checklist snapshot at log time — historic logs are immutable even if template changes
- Evidence file upload per log with SHA-256 checksum and signed-URL downloads
- Parts tracking: which parts were replaced or consumed during the maintenance
- Follow-up actions for incomplete or failed checks, tracked until resolved
- Daily reminder dispatch at 08:00 UTC for upcoming, overdue, and open follow-ups
- Maintenance compliance score on the dashboard — equipment with all plans current vs total
- Per-equipment maintenance history visible alongside calibration history
- Role-based access — admins design checklists, technicians log, viewers audit
Built for your accreditation standard
The Maintenance module enforces the right rules per standard automatically. Switch standards per lab; the rules switch with you.
Function-check records retained for the inspection cycle, with traceability from a result back to the maintenance state of the device.
Routine function checks and preventive maintenance documented per test system; corrective action tracked for any out-of-spec finding.
ISO 15189-aligned maintenance evidence with checksummed file versions and configurable retention windows.

FAQ
Common questions about maintenance
What's the difference between calibration and preventive maintenance in CalibDue?
Calibration verifies that an instrument is reading accurately against a known standard. Preventive maintenance keeps the instrument operating correctly between calibrations — cleaning, lubrication, parts replacement, function checks, etc. CalibDue handles them as separate modules with their own schedules, evidence, and scores, but they share the same equipment register so you see calibration history and maintenance logs side by side on each instrument's detail page.
Can a maintenance checklist be reused across multiple instruments?
Yes — that's the point of the checklist-then-plan structure. Define a checklist once (e.g. 'Weekly Centrifuge Check' with five typed items) and attach it to as many plans as you like, one per instrument. When you update the checklist template, future logs use the new version; existing logs keep the snapshot of the checklist as it was when they were captured, so historic records stay immutable for audit.
How does CalibDue handle a failed maintenance check?
Each checklist item can fail — for example, a measurement falling outside spec or an action item not completed. Failed or incomplete items automatically become follow-up actions, listed on the maintenance dashboard's 'Follow-ups' panel. Each follow-up can be assigned, given a due date, and tracked until resolved. The maintenance compliance score reflects only equipment whose plans are current AND whose follow-ups are closed.
Can I schedule maintenance based on usage rather than calendar time?
Yes. Plans support both modes — date interval (every N days/weeks/months) and usage threshold (every N runs, cycles, or measurements). For usage-based plans, the technician records the current usage count when logging the maintenance, and the next-due usage is computed automatically.
Does the maintenance compliance score show on the main dashboard?
Yes. The maintenance score sits in the dashboard's module grid alongside calibration, training, EQA, and documents. The score = (equipment with all active plans current and no open follow-ups) / (equipment with any active plan) × 100. One number, one glance, you know where your maintenance stands.
