Common questions about training

How does CalibDue track competency assessments separately from training?

Training records and competency assessments are distinct objects against the same topic. A staff member can have completed a training (e.g. instructor-led course) but not yet be assessed as competent — that's the 'pending assessment' state. Once an assessor logs a competency assessment with method (direct observation, problem-solving exercise, blind sample, etc.) and outcome, the user moves to 'compliant'. Both records carry expiration dates and trigger reminders independently.

Can I see who in my lab is qualified to run a specific procedure?

Yes — the Competency Matrix is exactly that view. Topics run across the columns, staff down the rows, and each cell shows a coloured status icon for that person-topic combination (compliant, expiring soon, non-compliant, pending assessment, not started). Click any cell to drill into the records and evidence. Export the whole matrix to PDF when an auditor asks.

What happens when staff training is about to expire?

CalibDue fires email reminders before expiration based on your lab's notification settings (the default cadence covers 30, 14, and 7 days before expiry). The user receives the reminder, the admin can see lab-wide upcoming expirations on the Training dashboard, and the user's status flips to 'expiring soon' so it's visible everywhere. After expiry, the status flips to 'non-compliant' and is surfaced in the dashboard's 'Needs attention' panel.

Can I attach training evidence — certificates, sign-off sheets, photos?

Yes. Every training record and competency assessment supports file upload (PDFs, images, scans). Files are stored with SHA-256 checksums and served via short-lived signed URLs — no permanent open links.

Is the training matrix exportable for a CAP, ISO 15189, CLIA, or UKAS inspection?
